Custom Emails

The Harmoney application allows you to send emails to counterparties, as well as to advisors, office managers, or any other person related to a dossier.

Depending on the purpose and the recipient, the format, structure, title, and content of the email may differ. To provide the necessary flexibility, the Harmoney application allows admin users to define custom email templates for specific email events.

To draft an email template, you can start with the default Harmoney template or create your own from scratch.

When to Use Default vs. Custom Templates

Choosing the right template type depends on the level of branding and structural flexibility required for the communication.

Template TypeWhen to UseKey Benefits
Default TemplateUse this as the standard choice whenever possible.Quick setup; professional, tested look and feel; ensures consistency across environments.
Custom TemplateFor high-demand clients who require highly customized layouts and branding.Unique branding, tailored layouts, and flexible data visualization.

Custom Email Template Structure

To create your own custom email template, it is recommended to start from the default template used for all Harmoney emails (unless you are an expert in HTML).

  1. Navigate to Libraries > Translations.
  2. Search for the key: EMAIL_TEMPLATE_MAIN.
  3. Use the HTML code of this default template as a reference. You can edit this HTML to meet the requirements of your new template.
  4. Add your updated HTML code into the WL Translations under the same key: EMAIL_TEMPLATE_MAIN.

By doing this, you overwrite the template for that specific White Label (WL). This new structure will subsequently be used as the base for all custom emails defined in that WL's translations (as explained in the technical documentation). Alternatively, you can save the new template with a new name in the WL translations. By only referring to this custom email template for specific emails (adjust #parse("EMAIL_TEMPLATE_MAIN")), you can still use the default EMAIL_TEMPLATE_MAIN for other emails.

Using Placeholders

When editing the HTML, notice the use of placeholders like $conclusionText. You can use these in your custom template to pull in system data automatically. Other common placeholders include:

  • $mainTitle & $subTitle: Used in the header to identify the email.
  • $greeting: Dynamically pulls the salutation.
  • $logoUrl: Pulls the company logo configured in settings.

Example Customizations

To add branding or decorative elements, insert an <img> tag within the header table or after the footer logic.

<div style="text-align: center; padding: 20px 0;">
<img src="[https://your-server.com/email-footer-logo.png](https://your-server.com/email-footer-logo.png)" alt="Company Logo" width="150" style="display:block; margin:auto;">
</div>

Note: You can also use a placeholder variable for the image source (e.g., $image_source) instead of a hardcoded URL. The actual value of this placeholder is then defined when the custom email template is used in the White Label translations. This is explained in detail in the technical documentation.

Image Before the Conclusion Text

If you want to add a visual element, such as a digital signature or a promotional banner, place it just above the $conclusionText variable in your template.

<div style="margin-bottom: 20px;">
<img src="[https://your-server.com/signature.png](https://your-server.com/signature.png)" alt="Signature" width="120">
</div>

#if ($conclusionText)
<p>$!conclusionText</p>
#end
